For families

Hands-On Music Policies

These policies are designed to keep parents, students, and instructors on the same page regarding club attendance, conduct, payments, and dismissal procedures. While these issues rarely arise, the following policies are in place to ensure consistency, fairness, and student safety.

Tuition & Payment

  • Tuition is $300 per semester, with a $15 registration fee, covering all club sessions.
  • Sibling discount: $15 off the second (or additional) child at final payment.
  • All payments are non-refundable once the semester has begun.
  • A 3.5% convenience fee applies to all transactions (including credit cards, debit cards, PayPal, Stripe Link, Venmo, and bank transfers).

Attendance & Missed Clubs

  • No makeups or credits are provided if a student misses a club session for personal reasons (illness, appointments, travel, etc.).
  • Makeup sessions will be provided if a club is canceled by the school due to inclement weather or school closure.
  • Families will be notified if a weather-related makeup session is scheduled.

Materials & Equipment

As part of the Hands-On Music club, each new student will receive the following materials for use during the session:

  • One keyboard
  • One tote bag
  • One Hands-On Music method book
  • One pencil
  • One set of crayons

In addition, families will receive access to the Hands-On Music online practice portal, which includes supplemental practice materials, recordings, videos, and other resources designed to support student learning at home. Access to the online portal is provided exclusively for enrolled Hands-On Music students and their immediate families. Sharing login credentials, downloadable materials, videos, recordings, or other club resources with individuals who are not currently enrolled in the club is strictly prohibited.

Southern Art Music retains all rights to its curriculum, books, recordings, videos, digital resources, and other club materials. Unauthorized reproduction, distribution, modification, sale, or sharing of any club materials is prohibited without prior written permission from Southern Art Music.

Students are expected to care for all materials and equipment provided to them. Families and students are responsible for any materials that are lost, stolen, or damaged beyond normal wear and tear.

If a keyboard is damaged due to misuse or negligence, or if a keyboard bag or method book is lost, a replacement materials fee will be assessed before a replacement item is issued. Replacement fees will be based on the current cost of the item being replaced.

Hands-On Music reserves the right to determine whether damage exceeds normal wear and tear and whether a replacement fee is required. All replacement fees must be paid prior to the distribution of replacement materials.

Student Conduct & Safety Expectations

At Hands-On Music, our goal is to provide a fun, engaging, structured, and safe learning environment where every student has the opportunity to learn and succeed. Students are expected to demonstrate respectful and appropriate classroom behavior during all club sessions, just as they would during the regular school day.

We understand that children are still developing important social, emotional, and behavioral skills. Our instructors work to support students through positive reinforcement, redirection, clear expectations, and age-appropriate classroom management strategies. However, behaviors that consistently disrupt instruction or compromise the safety of others must be addressed.

Behavioral Concerns & Parent Communication

When a student demonstrates repeated disruptive or inappropriate behavior, our instructors will document the incidents and communicate their concerns to Hands-On Music administration.

  • Documentation: Instructors will document recurring behavioral concerns, including the nature of the behavior and the steps taken to address it.
  • Parent Communication: When multiple behavioral concerns have been documented, Hands-On Music administration will contact the student's parent or guardian to discuss the concerns and establish expectations for improvement.
  • Continued Behavioral Concerns: If inappropriate or disruptive behaviors continue following parent communication and intervention, Hands-On Music reserves the right to dismiss the student from the program.

Our goal is always to work collaboratively with families to help students succeed. However, continued behaviors that significantly interfere with instruction or negatively affect the learning experience of other students may result in removal from the program.

Safety Concerns & Immediate Removal

Hands-On Music makes an important distinction between general behavioral concerns and behaviors that present a safety risk.

While typical classroom behavior challenges will be addressed through documentation, communication, and appropriate interventions, behavior that threatens the physical safety of students or instructors will not be subject to the same progressive intervention process.

Safety concerns may include, but are not limited to:

  • Physical aggression, including hitting, kicking, biting, pushing, or other actions that could cause injury.
  • Throwing objects, damaging equipment, or using classroom materials in a dangerous manner.
  • Threatening or intimidating behavior that creates an unsafe environment.
  • Leaving designated instructional areas without permission or engaging in behavior that compromises student supervision.
  • Any other behavior that places students, instructors, or staff at risk of physical harm.

Hands-On Music reserves the right to immediately remove a student from a club session or permanently dismiss a student from the program when their actions present a significant safety concern. Such decisions may be made without prior behavioral warnings or repeated incidents, depending on the severity of the situation.

Program Dismissal & Refunds

Students who are dismissed from Hands-On Music due to continued documented behavioral concerns or significant safety violations may not be eligible for a refund of remaining club sessions, in accordance with the program's enrollment and refund policies.

Our Commitment to Families

We recognize that every child is unique, and occasional behavioral challenges are a normal part of learning and growing. Our intention is not to penalize students for minor mistakes or age-appropriate behaviors, but to maintain a positive environment where instructors can teach effectively and all students feel safe, respected, and supported.

We appreciate the partnership of our families in helping us maintain these expectations.

Parent Conduct

We value parent communication and support, as it is integral to student success!

  • Parent communication should take place between 9:00 AM and 7:00 PM. (Email is welcome at any time.)
  • Parents are expected to treat all instructors with respect, especially in front of students.
  • Unacceptable parent behavior (such as yelling at an instructor in front of students, particularly on the campus of a partner school) will result in the immediate removal of the student from the club.

Sharing Day

During the final class of each semester, Hands-On Music students will participate in Sharing Day, an informal performance for family and friends. This is an opportunity for students to celebrate their progress and share what they have learned throughout the semester in a fun, supportive environment.

To help Sharing Day run smoothly:

  • Parents and guests should arrive at the half way point of class.
  • Due to limited classroom space, we ask that each student bring no more than two guests, whenever possible.
  • Please remain respectful of all performers by silencing cell phones and minimizing movement during student performances.
  • Photos and videos of your own child are welcome. We ask that families respect the privacy of other students and avoid posting images or videos that prominently feature other children without their parents' permission.
  • Sharing Day is considered the final class of the semester. Students are expected to attend if possible, as it is an important part of celebrating their accomplishments.

We are proud of the hard work our students put in each week and look forward to celebrating their musical growth with you!
